Cancellation Policy

How to cancel or reschedule a consultation, a paid Discovery session, a fixed-scope engagement, or a recurring Ongoing Engineering service.

Free consultations

  • You may cancel or reschedule. We ask for 24 hours' notice where that is reasonably possible.
  • There is no monetary no-show fee.
  • Repeated no-shows may lead Birchline to decline further free time or to suggest another engagement path.

Paid Discovery

  • Payment is required before the session is confirmed.
  • One reschedule is available with at least 24 hours' notice.
  • Cancellation at least 24 hours before the session and before substantive work begins may be refunded less genuinely non-refundable processing costs where applicable.
  • Work already performed is non-refundable, and a no-show or a cancellation inside 24 hours is normally non-refundable.

Fixed-scope engagements

On termination we stop future unauthorized work. Earned work, approved change orders, and approved expenses remain payable. Anything further follows the signed agreement.

Recurring services and Ongoing Engineering

  • Cancellation takes effect at the end of the current paid period by default, and future renewals stop.
  • A period already underway is not automatically prorated or refunded.
  • Immediate cancellation may end service and access earlier, but does not automatically create a prorated refund.
  • A signed agreement controls where it says something different.

Failed payments

Failed recurring payments follow the retry and grace behaviour configured with our payment provider. Work may pause during that period. The provider's record is authoritative and we reconcile against it.

Written confirmation

After a recurring service is cancelled we send written confirmation stating that it is cancelled, the cancellation date, the date service runs through, the effective termination date, and whether any further recurring billing is expected. We never confirm a cancellation while the provider still shows an active, renewing subscription.
